Scope of this policy

Meetchina365 is a sourcing platform that helps buyers connect with pet product manufacturers and suppliers. We do not manufacture, sell, warehouse, or ship products, and we are not a party to the shipping contract between a buyer and a supplier.

This page explains how shipping is usually handled on the Platform and what buyers should confirm before placing an order. The supplier's quotation, proforma invoice, and sales contract always take priority over this general guidance.

Shipping terms are agreed with the supplier

Shipping method, freight cost, insurance, packaging, and risk allocation are agreed directly between the buyer and the supplier. They are normally expressed using Incoterms, such as EXW, FOB, CIF, DAP, or DDP.

  • EXW (Ex Works): the buyer arranges collection, export clearance, freight, and import clearance.
  • FOB (Free On Board): the supplier delivers to the named port and the buyer arranges main carriage and import.
  • CIF (Cost, Insurance and Freight): the supplier arranges freight and minimum insurance to the named port, while the buyer handles import clearance and onward delivery.
  • DAP / DDP: the supplier delivers to the named place; under DDP the supplier also handles import duties and clearance. Confirm the exact responsibility split in writing.

Ask the supplier to state the Incoterm, named place or port, freight cost, insurance, and expected transit time in the quotation. If a term is not stated, do not assume it is included.

Production and transit times

Lead times usually include production time plus transit time. Production time depends on the product, order quantity, customization, packaging, and the supplier's current capacity. Transit time depends on the mode of transport, route, carrier, customs, and season.

Any date or number of days shown on the Platform or in a quotation is an estimate unless the supplier expressly guarantees it in a signed contract. Buyers should build buffer time into launch plans and keep the supplier informed of deadlines.

Samples and small orders

Sample shipping is usually arranged by the supplier, by courier, or through the buyer's freight account. Sample costs, courier charges, and any duties are agreed with the supplier. Samples may be subject to different packaging, labeling, or minimum charges than bulk orders.

Customs, duties and import compliance

Unless the supplier agrees otherwise in writing, the buyer is responsible for import clearance, duties, taxes, and compliance with the destination market. This includes product safety, labeling, packaging, certification, and any rules that apply to pet products or pet food in the destination country.

Suppliers are responsible for providing accurate commercial invoices, packing lists, and the product documents they have agreed to provide. Meetchina365 does not provide customs brokerage, product certification, or legal advice.

Tracking and delivery inspection

When a tracking number or carrier reference is available, the supplier should share it with the buyer. Tracking updates can lag or be unavailable for some routes, especially during customs clearance.

Inspect the shipment as soon as it arrives. Check the quantity, packaging, product condition, and specifications against the order. If there is visible damage, photograph the packaging and goods before signing for delivery where possible, and notify the supplier promptly.

Lost, damaged or delayed shipments

Risk of loss or damage passes according to the agreed Incoterm and the supplier's contract. Claims are normally made against the carrier or insurer, with the supplier's cooperation. We recommend agreeing on cargo insurance for higher-value shipments.

If a shipment is lost, damaged, or significantly delayed, contact the supplier first and keep all shipping documents, photos, and correspondence. Meetchina365 can help coordinate communication, but is not the carrier, insurer, or seller and does not determine claims.
